HIPSBC EXECUTIVE COORDINATOR

The function of the Executive Coordinator is to assist the society’s President and Board
Members in the execution of the society’s business. Work carried out by the Executive

The coordinator shall be directed through the President.

The Executive Coordinator’s Responsibilities :

• Carry Out the Annual Membership Drive by updating member and non-member lists,
preparing the membership package, sending renewal notices to Members and prospective
members, setting up the online registration platform, processing memberships online, sending
out confirmation membership letters, certificates and yearly decals, take care of finances,
member spreadsheets, and making phone calls to prospective members.

• Prepare details on the bank statements for the bookkeeper, pay bills, do banking, and keep track of
GST to file with CRA at the end of April. Send year end information to an accounting firm to dot taxes.

• Take minutes of meetings, prepare agenda and documents for distribution, and set up an electronic meeting for the Board members and the continuing education classes.

• Set up the Annual General Meeting. Send out AGM notice and documents package to members.

• Coordinate the meeting with the Board members which may include booking site and catered food and speakers.

• Coordinate HIPSBC activities, i.e. newsletters, and website content with the webmaster, alert board members of actions to be completed.

• Maintain processes and procedures. Receive and distribute correspondence, take calls, and emails, answer queries or refer.

• Other tasks identified by the Board as needed

Skills and Abilities

The ability to work independently and to learn new skills as the role evolves as needed

The ability to exercise sound judgement

Excellent verbal and written skills

Proficient computer skills using software applications including word processing (Word),
spreadsheets (Excel), mail merge and web research skills

Accounting and financial administrative skills and understanding

Knowledge of the rules of not-for-profit societies in British Columbia.

The ideal candidate will have some knowledge of the hearing profession and will be comfortable with attending meetings in the evenings at 7 PM PST.
