HIPSBC Executive Coordinator

 JOB POSTING FOR – HIPSBC Executive Coordinator (Regina Ternus Position)

The function of the Executive Coordinator is to assist the society’s President and Board Members in the execution of the society’s business.  Work carried out by the Executive Coordinator shall be directed through the President

Carry Out Membership Drive by updating member and non member lists, preparing the membership package, sending renewal notices to Members and prospective members, making phone calls, setting up the on-line registration platform, processing memberships with the International Society, send out confirmation membership letters, certificates and yearly decal, take care of finances, member spreadsheets.

Prepare details on the bank statements for bookkeeper, pay bills, do banking, keep track of GST to file with CRA at the end of April.  Send year end financial package to accounting firm to do taxes.

Take minutes of meetings, prepare agenda and documents for distribution, set up meeting and conference calls with Board executive.

Send out AGM notice and documents package to members.  Coordinate the meeting with Board executive which may include booking site and catered food.

Coordinate HIPSBC activities, i.e. newsletters, website content with webmaster, alert Board Members of actions to be completed.

Maintain Process and Procedures.  Receive and distribute correspondence, take calls, emails, answer queries or refer.

Skills and Abilities

  • The ability to work independently
  • The ability to exercise sound judgement
  • Excellent verbal and written skills
  • Proficient computer skills using software application including word processing (Word), spreadsheets (Excel), mail merge and web research skills
  • Accounting and financial administrative skills and understanding

This is a part time, seasonally busy position typically working your own hours and from home.  Capability for a dedicated phone line for HIPSBC is needed and paid by the Association along with other office expenses.

Competitive salary commensurate to experience.  Start Date: September 1, 2020
